Who we are

Keep Your Car Safe - KYCS Ltd (company number 10598076), Unit 20, Fountain Business Park, Fountain Lane, Oldbury B69 3FH ("KYCS", "we"). We decide how your personal information is used. For any question about it, WhatsApp us on 0121 295 1900 or email hello@keepyourcarsafe.co.uk.

What we collect

Your name, phone number, email, and delivery and billing addresses.
Your vehicle's details: registration, model and chassis number.
Order, booking, payment and warranty records. Card details are handled by our payment provider and never stored by us.
Photos and videos of your headlights or vehicle, from you or taken during our work.
Your messages to us by WhatsApp, email, phone or social media, and recordings of phone calls.
How you use our website: device, IP address and cookies.
CCTV footage when you visit our premises.

Sometimes we receive your information from others: a garage, bodyshop or dealer booking work on your behalf, or vehicle data services confirming your vehicle's details.

How we use it, and why we're allowed to

To take and fulfil your order or booking, arrange delivery or collection, and handle returns and warranty claims. This is needed for our contract with you.
To keep accounting and tax records, as the law requires.
To prevent fraud, settle disputes, improve our service and train our team. These are our legitimate interests. Identity documents asked for in a fraud check are deleted once the payment is verified.
To send you offers and news, only if you've agreed. You can opt out at any time.

Some information, such as your contact and delivery details, is needed to take your order. Without it we can't provide the product or service. We don't make decisions about you by automated means alone.

Phone calls

Calls are recorded for training, quality, settling what was agreed and meeting our legal obligations. Recordings are stored securely and kept as long as needed for those purposes.

CCTV

Our premises are covered by CCTV, for the security of our premises, vehicles and customers' property, and to prevent and investigate crime. Footage is kept for a limited period and then automatically overwritten, unless it's needed to investigate an incident or a claim, or the police ask for it.

Who we share it with

Only what each needs to do its job:

Shopify, which runs our website, checkout and payments.
Google Workspace, for our email and documents.
WhatsApp and our messaging tools, for conversations with you.
Couriers, including DHL and Royal Mail, for delivery and collection.
Job management and team communication tools, used to run your job.
Vehicle data services, to identify your vehicle and its parts from its registration or chassis number.
Our accountants and professional advisers, and authorities where the law requires.

We never sell your information.

Outside the UK

Some of these providers process data outside the UK, including in the US. Where they do, legal safeguards approved under UK law protect it.

How long we keep it

Orders, invoices and payment records: 6 years, for tax purposes.
Messages, photos and job records: for as long as needed for your job and its warranty.
Other information: no longer than we need it.

Your rights

You can ask to see the information we hold about you, correct it, delete it, restrict or object to how we use it, or move it to another provider, and you can withdraw your consent at any time. We'll reply within one month. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Cookies

Our website uses cookies to work, such as keeping your basket, and, with your consent, to understand how it's used. You can manage cookies through the site's cookie banner or your browser settings.

Under 18s

Our site and services aren't aimed at anyone under 18, and we don't knowingly collect their information.

Keeping it safe

Access to your information is limited to the staff who need it, on our own business systems. Payments are processed securely by our payment provider.
